The primary functions of the Enterprise Scheduling Supervisor are to assist the Enterprise Scheduling Manager with daily department operations and supervision of Enterprise Scheduling Associates. Basic responsibilities include facilitation of daily work assignments; trouble-shooting problem patient accounts; detailed training and education for staff on core responsibilities, managed care policies, and system functionality; and participation in meetings with internal and external decision makers. The Supervisor should remain in full compliance with all departmental, institutional, and regulatory policies and procedures at all times.
Essential Functions & Responsibilities:
Responsible for daily staffing of the Enterprise Scheduling team including managing/covering shift hours, and monitoring use of overtime to adhere to the department's annual budget.
Actively monitor staff productivity and contribute to the Department Manager's performance appraisals; assist with disciplinary action, as appropriate.
Work hand-in hand with department staff to complete daily workloads across Enterprise Scheduling.
May act as the initial point of contact for problem patient accounts by working with staff to remediate issues and escalate accounts as appropriate for completion.
Work directly with IS teams, as needed, on Enterprise Scheduling issues.
Work directly with Mary Washington Healthcare clinical partners to collaborate on project work and problem solving as appropriate.
Collaborate with the Quality Assurance Coordinator and the Department Manager to identify areas for staff productivity and quality improvement and to arrange for appropriate staff refresher training.
Assists Department Manager to enforce productivity standards.
Monitor staff compliance with all Mary Washington Healthcare policies and procedures.
Complete daily/weekly productivity and performance reports.Complete monthly staff report cards.
Collaborate both inter- and intra-departmentally to resolve issues and manage projects/assignments.
Work in a team setting to assist Department Managers and Director in developing Enterprise Scheduling policies and procedures, situation and response guidelines, and other supporting tools.
Assume all management responsibilities in the absence of the Department Manager.
Assist in the identification, analysis, and resolution of account issues related to Enterprise Scheduling.
Present issues, problems and possible recommendations for resolution to the Manager.
Prioritize staff work loads to meet required productivity deadlines as established by the management team.
In conjunction with the Department Manager, interview new hires and provide recommendation to the Department Manager.
Authorize staff vacation time and coverage needs.
Draft performance appraisals for the Department Manager and/or present individual feedback for annual staff appraisals.
Responsible for overall staff training on basic system functionality and enhancements.
Assist Enterprise Scheduling Manager in supervising/prioritizing daily work loads.
Assist Department Manager in monitoring staff compliance with all policies and procedures.
Assist with hiring, Associate evaluations, and disciplinary actions in conjunction with the Department Manager.
Regular exposure to patient demographic, diagnostic, and billing information.
Exposure to physician information including physician numbers assigned by governmental agencies and insurance carriers.
Institute contract information with third party payors.
Institute financial information.
Staff records and reviews, including salary information.
Data is not to be shared or given to anyone unless in the line of daily business; Immediate disciplinary procedures/termination may occur should information be disclosed inappropriately or in violation of both HIPAA regulations and facility bylaws.
Normal business hours are Monday through Friday between 8:30A.M.and 5:00P.M. However, the Associate is expected to work additional hours as necessary to complete daily work for smooth operations of the department. Hours may be adjusted as required by Department Manager in order to facilitate daily operations.
Associate's Degree or equivalent experience preferred; High school graduate with some college required.
Minimum of one year of supervisory experience required.
Minimum of two (2) years of healthcare experience preferred.
Knowledge of managed care policies and medical terminology preferred.
Ability to supervise, counsel, train, and develop staff.
Excellent customer service and communication skills, both written and verbal.
Self starter with strong team player and leadership abilities to motivate staff and increase productivity.
Strong analytical and problem solving skills.
Outstanding project management and task prioritization abilities; ability to meet pre-determined deadlines.
Advanced technical skills, as appropriate.
